Overall Purpose of the Role:
Under the supervision of the Supply Chain Officers, the role supports day-to-day logistics and operational tasks, including maintaining cleanliness in office and accommodation compounds, supporting basic maintenance and repairs, daily waste disposal, and assisting with handling furniture and loading/unloading supplies. The role also assists in procurement processes as needed.
Key Responsibilities:
- Assist in the procurement of goods and services in accordance with DRC policies and procedures.
- Support the daily coordination of procurement activities, ensuring timely and compliant actions.
- Maintain a strong understanding of DRC procurement policies and assist in training staff when required.
- Support staff in preparing clear and accurate purchase requests and related documentation.
- Collect quotations and bids from suppliers as assigned, ensuring compliance with DRC standards and formats.
- Engage vendors during quotation processes, clearly explaining DRC requirements and ensuring use of the correct forms.
- Uphold fair competition principles and adhere strictly to DRC’s procurement and vendor interaction guidelines:
- Treat all suppliers/vendors with fairness, respect, and professionalism.
- Promote transparency and impartiality in vendor interactions and selection.
- Maintain and update price lists and vendor databases regularly and share updates with relevant departments monthly.
- Receive and inspect goods upon delivery, verifying quality and quantity, and coordinate with relevant program teams as needed.
Education/ Experience /Skills
- A Diploma or Degree in Supply Chain Management, Logistics, Procurement, or a related field.
- Relevant work experience in logistics, procurement, or general support functions may be considered in lieu of formal qualifications.
- Familiarity with humanitarian supply chain procedures is an added advantage.
- Strong organizational and communication skills.
- Ability to work in a team and maintain good relationships with vendors and staff.
